Position Description:
The Records Scanner will support the AFDW Criminal History Record Index Support (CHRIS) contract. The nature of this work is to provide support to request, receive, inventory, match demographic information, and prepare data for entry into Federal and DoD databases. Additionally, the program provides records management, data entry, and other related administrative functions to support military or civilian personnel assigned to future USAF centralized indexing efforts, teams, cells, or task forces.
In this role you will….
- Convert, from paper to searchable digital file, Department of Air Force criminal history records.
- Apply Optical Character Recognition (OCR) to all images to create searchable PDF images and files.
- Administratively manage data into prescribed digital formats required by external databases, scanning and processing, documenting, and tracking criminal subject/case information in preparation for entry into the appropriate Federal and DoD criminal justice database system.
- Inventory all related materials and case related documents in a prescribed order or file system.
- Scan records to ensure full OCR, independently verifying key fields to confirm accuracy.
- Continuously maintain the protection of controlled unclassified information (CUI) contained in each record in compliance with (Personally Identifiable Information (PII) and Law Enforcement Information (LEI) standards and best practices.
- Prepare the files for scanning by removing all fasteners and bindings, flattening bent corners, adjusting document orientation, making minor repairs (if necessary), repositioning smaller documents, etc.
- Conduct a 100% paper to image verification to ensure images captured are readable, with no defects or obscured data.
- Provide information, records management and other related data reporting and administrative functions to support military or civilian personnel assigned to USAF or SF centralized indexing efforts, teams, cells, or task forces.
- Additional duties as assigned
Experience Requirements:
- 3 years of experience with records management and data entry projects, or in general administration.
- Experience handling sensitive information, such as Controlled Unclassified Information (CUI), HIPPA, Personally Identifiable Information (PII) and Law Enforcement Information (LEI)
- Acute attention to detail, and a working knowledge of proven quality management best practices
- Proficiency in MS Office products
- Understands and meets deadlines and time sensitive issues in a fast paced environment.
- Ability to manage stress with a high degree of maturity/professionalism
- Able to change direction as needed and perform with unanticipated interruptions or pressures
Education Requirements:
- Associates degree or equivalent work experience (2 years), with a preference for concentration in a management discipline such as Police Administration, Criminal Justice, or Business Administration.
Security Clearance Requirements:
- Active DOD Secret security clearance
Other Requirements:
- Prior Military or Civilian Law Enforcement experience is a plus
- Prior Military Personnel experience is a plus
- May be required to move equipment/files weighing up to 50 pounds
- Requires ability to consistently perform repetitive tasks including filing and scanning
- May require sedentary work at least 50% of the time
- Reports to a physical location which occasionally requires the ability to traverse between buildings
- Ability to manage stress with a high degree of maturity/professionalism
- Demonstrated critical thinking and leadership skills and the ability to work well with others
- Effective verbal and written communication skills
