Summary/General Description of Responsibilities
The Admin Clerk, Work Control, provides day-to-day administrative support for the assigned manager and staff by performing a variety of office duties to coordinate department activities according to the assigned manager's general instructions, priorities, duties, policies and goals. Incumbent works independently and exercises good judgment in applying established procedures and interpreting and adapting to policies, practices and precedents in changing situations.
Keeps supervisor apprised of unique situations and problems encountered and identify and reports safety, environmental and other work requirements for resolution.
Essential Duties & Job Functions
- Administrative Clerk generally handles differing situations, problems, and deviations in the work of the office according to the assigned Manager's general instructions, priorities, duties, policies, and program goals.
- Maintains rosters, tracks suspense's and collects/consolidates information from Supervisors/Shops as needed in support of government and Company requirements.
- Sets up and attends staff or other meetings in the as requested by the Manager and taking notes and/or action items.
- Assists Manager with outlook calendar meetings invites and updates.
- Works with other clerks, supervisors, managers on document templates and updates.
- Screens telephone calls, visitors, and incoming correspondence; personally, responds to requests for information concerning office procedures; determines which requests should be handled by the Manager, appropriate staff member or other offices. May prepare routine, nontechnical correspondence.
- Schedules tentative appointments without prior clearance. Makes arrangements for conferences and meetings and assembles established background materials, as directed. May attend meetings, and records minutes and reports on the proceedings.
- Reviews and tracks incoming and outgoing materials, submittals and correspondences for internal consistency, accuracy and conformance with operations procedures; assures that proper clearances have been obtained, when needed. .
- Collects information from the files or staff for routine inquiries on office programs(s) or periodic reports. Refers non-routine requests to supervisor or staff.
- Coordinates personnel (non-PII) and administrative forms for the office and forwards for processing. ·
- Performs a variety of clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.
- Tracks reimbursement hours for government reporting.
- Prepares specialized reports and documents as required.
- Interfaces with customers and responsible for customer feedback, as applicable.
- Operates motor vehicles in accordance with company vehicle policies.
- Complies with applicable federal, state, United States Air Force (USAF) and Occupational Safety & Health Administration (OSHA) environmental laws and regulations.
- Complies with health and safety rules and procedures; performs work in a manner that enhances the safety of the work environment.
- Performs other related duties as assigned.

- Job Requirements (Education, Experience, & Professional Association) Mandatory:
- High School diploma or equivalency.
- Current state driver's license, acceptable driving record
- Minimum of Two (2) _years' progressively responsible experience as an admin assistant, secretary, or executive secretary.
- Ability to solve problems and work independently with minimal supervision
- Ability to adapt to changes in technology.
- Demonstrated proficient skills in using various computer software, including ability to use the Windows operating system as well as common office software such as Microsoft Outlook, Word, Excel, PowerPoint and Database Management.
- Excellent communication skills, both verbal and written; must be able to read, write and speak fluent English.
- Ability to obtain and maintain all necessary License/ID/Certifications
- Ability to deal with a variety of people in a professional and courteous manner in diversified situations.
- Preferred: Associates Degree in Business, Office Automation, or a related field.
- Courses or seminars in administrative management.
- Four (4) years' experience as an admin assistant, clerk, secretary, or executive secretary.
- Military experience
- Previous experience working on a military installation
- Experience working on Tinker facilities
Physical Demands:
While performing duties of this job, the employee is occasionally required to stand and/or walk for long periods at a time, sit, use hands and fingers, handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl. The employee must be able to speak and hear, with occasional specific vision abilities required to include close vision. The employee must occasionally lift and/or move up to 35 pounds. The employee is occasionally required to work other than normal duty hours, which may include evenings weekends and/or holidays.
This position may currently and/or in the future be required to obtain and retain a favorable National Agency Check (NAC) and/or Personal Clearance (PCL) as required by law or contract. Position requires pre-employment drug screening.
