Position Summary
As a Business Operations Assistant, you will play a pivotal role in ensuring the smooth functioning of MAFX by overseeing various administrative and supporting operational tasks.
This role requires strong organisational skills, excellent attention to detail, and a proactive approach to problem-solving. Additionally, you will provide essential support to the wider MAFX team to help support strategic objectives and drive organisational success.
Role and Responsibilities
- Work closely with the Business Operations Manager to create and manage efficient processes to support operational output.
- Provide administrative support to the MAFX team as a whole, where appropriate scheduling meetings, preparing agendas and presentations, and facilitating communication between team members.
- Book and monitor travel arrangements for MAFX team.
- Work closely with the Business Operations Manager and file managers on ensuring processes and procedures for our deploying personnel are executed.
- Assist in the documentation and updating of standard operating procedures (SOP’s) throughout MAFX.
- Assist with the timely and accurate processing of expenses.
- Analyse and report on travel expenditures across MAFX.
- Purchase order creation and processing.
- Assist in purchasing, recording and maintaining acceptable levels of merchandise, clothing and items as approved by the Business Operations Manager and where necessary providing new supplier due diligence checks.
- Monitor and order office supplies to ensure operational continuity
Skills and Experience
- Proven experience in an administrative role
- Excellent communication and interpersonal skills, with the ability to interact effectively with team mates at all levels of the organisation.
- Strong organisational and time management abilities, with a keen attention to detail and the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office Suite, Monday.com and other relevant software applications
Additional Eligibility Qualifications
The role will be based in MAFX’s London office but will be primarily ‘hybrid’, with domestic and international travel as required.

Position Type and Expected Hours of Work
This is a full-time non-exempt position with typical working hours of Monday through Friday, 9:00 a.m. to 5:30 p.m. Hours and work shifts may change in accordance with department and business needs. Exempt Employees must have the ability to be on-call and available, as business needs require. Non-Exempt employees may be required to work over 37.5 hours per week with approval from the department manager.
